WhatsApp AI Assistant for Business: 24/7 Automated Sales
In Turkey, a large share of customer communication happens on WhatsApp. The problem: most messages arrive outside business hours, and a slow first response is one of the most common reasons sales are lost. A WhatsApp AI assistant is the layer that closes this gap and, when set up correctly, noticeably reduces the workload on your sales team.
What it is — and what it isn’t
A WhatsApp assistant is a software layer that reads and answers messages sent to your business’s official WhatsApp number. It can book appointments, share pricing, look up order status and, when needed, hand the conversation over to a human.
What it isn’t: an old-school menu-based bot. Customers don’t have to press a number; they write in their own words. Nor does it replace your sales team. It frees the team from repetitive questions so they can spend their time on qualified conversations.
Which businesses does it really work for?
- Appointment-based services. Clinics, beauty salons, auto service shops, consultancies. Booking and reminders can be fully automated.
- E-commerce. Questions like “Where is my package?”, “How do I return this?” or “What size should I order?” make up most of the incoming messages, and all of them can be answered automatically.
- Manufacturing and B2B. For requests about technical documents, price lists and stock availability, the assistant pre-qualifies the inquiry and passes qualified leads on to sales.
- Real estate and automotive. Listing-specific questions, availability checks and viewing or meeting scheduling run automatically.
- Education and courses. Curriculum, fees, available seats and enrollment steps are questions that come up again and again.
On the other hand, for businesses that receive only a handful of messages a month, or where every conversation is entirely bespoke, the return from an assistant won’t cover the setup cost. We prefer to say that up front.
What does it deliver for your business?
- First response time drops to seconds. Replying in the first minute, when interest is at its peak, has a direct impact on your close rate.
- No more leads lost after hours. Messages that come in during evenings and weekends no longer wait until the next business day.
- Repetitive questions come off your team’s plate. The team can focus on customers who are ready to decide.
- Every conversation is recorded. You can see which questions are asked and how often; that data feeds both product and content decisions.
- Everything becomes measurable. How many conversations, how many appointments, how many sales: all of it can be reported.
How is it set up?
Setup happens in four stages. First, an official WhatsApp Business API line is opened; solutions that run on a personal WhatsApp number are not recommended because they carry the risk of the number being banned. Next, the assistant’s knowledge base is prepared: services, pricing policy, frequently asked questions, return and delivery terms. In the third step, integrations are built, connecting the assistant to whatever you use, whether that’s inventory, orders, an appointment calendar or a CRM. Finally, handover rules are defined in writing: when a conversation is passed to a human, and which questions are never answered automatically.
We build integrations like these as part of our custom software development work, and for the screens where conversation data is reported we use our dashboard development service.
Common mistakes
- Letting the assistant answer anything and everything. An assistant that guesses about things it doesn’t know produces wrong prices or wrong commitments. Its boundaries need to be written down.
- Blocking the path to a human. Leaving a customer stuck in a bot loop does more damage than not replying at all.
- Not updating the knowledge base. When a price or promotion changes, the assistant keeps giving out the old information.
- Bulk messaging without consent. Marketing messages sent without opt-in lead both to the line being shut down and to reputational damage.
- Not setting up measurement. If you don’t know how many conversations turn into sales, there’s no way to discuss the return on the investment.
Frequently asked questions
Will it work with my own WhatsApp number?
Business use requires an official WhatsApp Business API line. Solutions that automate through the personal app violate the terms of use and put your number at risk of being banned. Your existing number can be migrated to an API line.
Will customers realize they’re talking to a bot?
It’s normal for them to realize it, and we don’t try to hide it. In our experience, what frustrates customers isn’t talking to a bot; it’s not getting an answer or getting stuck in a loop. The assistant introduces itself and hands over to a human when needed.
Will it integrate with my existing systems?
Yes. It can connect via API to your e-commerce platform, appointment calendar, accounting software or CRM. That way, order status, stock levels and availability are read from real data.
How long does setup take?
If the knowledge base is ready, a basic setup can go live within a few weeks. What usually stretches the timeline isn’t the technical side but getting prices and terms written down.
What does the cost depend on?
Three factors: the number of integrations, conversation volume and the range of actions the assistant is allowed to take on its own. An assistant that only answers questions and one that creates orders and books appointments are not the same job. To scope the right setup for your business, get in touch with us.
